Organization
Members and roles
Invite dashboard users, assign roles, and manage permissions on the Accounts and permissions page. Each role grants a defined set of permissions, and you can only assign roles at or below your own.
You manage your dashboard team on the Accounts and permissions page, under the Organization group in settings. There you invite users, assign each one a role, and remove members. A role decides what someone can do across the dashboard.
How do you invite a dashboard user?
Open Accounts and permissions, select Add Account, fill in the person's first name, last name, and work email, choose a role, then select Send invite. The person receives an invitation and shows under pending invitations until they accept.
- In settings, open the Organization group and select Accounts and permissions.
- Select + Add Account.
- Enter the First Name, Last Name, and Email. Use a work email address. Re-enter the email to confirm it.
- Under Select roles, choose one role. The list shows only the roles you are allowed to assign.
- Select Send invite. The invitation appears in the pending invitations list with the role you chose, and the person joins once they accept.
What dashboard roles can you assign?
Five roles are assignable: Organisation Admin, Portal Admin, Product Owner, Configuration Owner, and Member. The Organisation Owner is a single user rather than a role you assign, and Super User is reserved and not assignable from the dashboard.
Each role grants a fixed set of permissions. This table reflects what each role can do in the dashboard.
| Role | What it can do |
|---|---|
| Organisation Owner | Everything. Holds every permission, including managing the organization itself and your Apiable billing. One user per organization, and cannot be removed. |
| Organisation Admin | Everything except managing the organization itself. Manages accounts, billing, portals, integrations, products, content, theme, and pages. Can be held by more than one user. |
| Portal Admin | Manages your portals, portal subscriptions, teams and users, integrations, products, content, theme, and pages. No power over the organization, accounts, or billing. |
| Product Owner | Manages products: create, edit, publish, remove, and publish product versions. Cannot approve subscriptions or manage integrations. |
| Configuration Owner | Manages gateway and identity integrations and the API catalog. Cannot approve subscriptions or manage products. |
| Member | A baseline account with no management permissions until you grant a role with permissions. |
Can a dashboard user hold more than one role?
Yes. Roles are additive. You add or remove each role on its own from the accounts list, and a user's permissions are the sum of every role they hold. For example, Portal Admin plus Configuration Owner gives someone both portal and integration permissions.
To change a user's roles, find them in the accounts list and use the role control next to their name. Adding a role grants its permissions immediately, and removing it takes them away. The role you assigned shows as a chip beside each user.
Why can't you assign a certain role?
You can only assign roles at or below your own most senior role, and only when you have permission to assign roles. Roles above yours appear greyed out and cannot be selected. The Organisation Owner sits above every role, so the owner can assign any assignable role.
The order from most senior to least is Organisation Admin, Portal Admin, Product Owner, Configuration Owner, Member. A Portal Admin, for instance, can assign Portal Admin and below, but not Organisation Admin.
How do you remove a dashboard user?
Open the user from the accounts list and use the delete action in their detail view. You need permission to manage accounts. You cannot delete the Organisation Owner, which is marked (Organisation Owner) next to their name in the list.
Removing a user revokes their dashboard access. Pending invitations that have not been accepted appear in their own list, separate from active accounts.
