Approval groups

Create approval groups of reviewers in your dashboard, then bind a group to a plan so the right people review the subscription and scope requests on that plan.

An approval group is a named set of your dashboard users who review requests. You create groups under Settings, Organization, Approval Groups, then bind a group to a plan on its Approvals tab. The group's members become the reviewers for that plan's subscription and scope requests.

What is an approval group in Apiable?

An approval group is a named set of dashboard users who act as reviewers. You manage groups under Settings, Organization, Approval Groups, and you bind a group to a plan so its members review the subscription and scope requests on that plan.

A group holds two things: a name and a list of members drawn from your organization's dashboard users. It does not, on its own, decide anything. It becomes active when a plan points at it.

How do you create an approval group?

Open Settings, Organization, Approval Groups, click Add Group, name the group, and check the dashboard users to add as reviewers. The Save action stays disabled until the group has a name and at least one member.

  1. In the dashboard, open Settings and select Approval Groups under the Organization section.
  2. Click + Add Group.
  3. Type a name in the Approval Group Name field.
  4. In the members table, check each dashboard user to add to the group. Use the select-all control to add everyone at once.
  5. Click Save Group. The button is disabled until the group has both a name and at least one member.

How do you assign an approval group to a plan?

Open the plan, go to its Approvals tab, and pick the group from the list. The plan's requests then route to that group's members. Choose No Approval Group to leave the plan without one.

  1. Open the plan and select the Approvals tab.
  2. The tab lists No Approval Group followed by every approval group, each showing its member names.
  3. Select the group you want to review this plan's requests.
  4. Save the plan.

To add a group without leaving the plan, use Add New Approval Group on the Approvals tab. The new group is created and selected for the plan in one step.

Which requests does an approval group review?

The group bound to a plan is notified for that plan's subscription requests and scope requests. For scope requests, the requester's plan determines the group, and Apiable emails that group's members when a grant is requested.

If a plan names no approval group, Apiable falls back to the default approval group set in your registration configuration. If neither names a group, no approval-group notification is sent.

Who can manage approval groups?

A user whose role allows administering approval groups, on an account where the approval-group feature is enabled. Both conditions must hold to create, edit, or delete a group.

When the role is missing, the page shows a banner and the groups stay read-only: the Add Group and Edit actions are disabled. The same gate applies to binding a group on a plan's Approvals tab.

Troubleshooting

Match what you see to the fix:
